The Assistant Director (AD) collaborates as second to the Director of Programs, and exercises significant discretion in the day-to-day oversight of Youth Action-affiliated programs. The AD is responsible for ensuring the planning, development and coordination of program schedules; supporting outreach/recruitment planning, overseeing program enrollment strategies; and the design and management of Social work/Success management services to support the retention and persistence of enrolled students. S/he fosters and maintains strong community partnerships. The AD oversees collecting, managing and reporting on contractual outcomes with direction from the Director of Programs and support from the members of the program team. The AD works closely with the program team and organizational partners to increase international opportunity for continued youth development and growth.  Alongside the Director of Programs, the AD assists in establishing a productive, aspirational, and collaborative work environment.  Work Hours are generally, 8:00 am to 5:00 pm, Monday through Friday. Occasional weekend and overnight hours may be required.


·         Minimum of Bachelor’s Degree in Education, Human Services Administration, Social Work, Data Science, Counseling or other related field and/or 5 years of work history with progressive work responsibilities in either youth and community development programming, data base management and program administration or some combination of the above.

·         At least 3 years’ prior experience in data management, enrollment reporting, compliance monitoring, community-based programming

·         At least 3 years’ Case management/counseling and/or youth development and/or education experiences.

·         At least 3 years’ experience in community outreach, international program design, grant administration, human services delivery, crisis intervention, training, and collaborating and building strategic partnerships particularly with youth development & human service resources.

·         Excellent interpersonal and problem-solving skills; initiative and accountability, ownership of work area and the ability to relate to a wide range of issues, people and institutions.

·         Excellent communication, listening, follow through, writing, and computer skills (including Microsoft Office/Excel, Salesforce, PowerPoint and database management).

·         At least 2 years’ experience supervising professional staff

·         Ability to pass both a criminal history/sexual offender and school fingerprint background check.

·         Exceptional planning, analytical, organizing, and multitasking skills along with good attention to detail.

·         Ability to work independently and part of a team.

·         Flexibility to travel for occasional grant related conferences or program-related excursions.

·         Ability to work some evenings and occasional weekends.


The AD selects, trains, mentors, coaches, supervises and assesses the YAYB Social Worker/Success Manager, the YAYB Service and Follow-Up Coordinator, as well as assigned program interns and guest workers occasionally assigned to support Youth Action programming.

Staff Leadership Responsibilities

1.      Collaborates with the Director of Programs to provides day-to-day leadership and oversight for program data collection, file compliance and reporting (i.e. AmeriCorps, Data YouthBuild, DYCD, the NYC Collaborative, Salesforce and others). This includes generating periodic reports as requested/required.

2.      Oversee program data management systems and procedures to ensure the integrity of data storage/security, accuracy of reporting and tracking for all relevant data points. This includes collection of documentation from program staff in accordance with various grant requirements in an accurate and timely fashion.

3.      Lead regular data and reporting driven program meetings.

4.      Ensures all new participants and newly hired staff members have access to YAYB emails.

5.      Selects, train, supervise and assess Success Manager, Service and Follow-Up Coordinator, as well as assigned program interns.

6.      Performs other related duties as assigned by the program’s leadership.

Program Operations, administrative and Planning Responsibilities

1. The AD serves as the operational second to the Director of Programs and serves as day to day program lead    in the Director of Program’s absence.

2.       Collaborates with the Director of Programs, and the YAYB program staff, plan and coordinate a year-long program activity calendar that incorporates multiple program elements for all Youth Action-affiliated programs.

3.       Collaborates with the Director, to plan, organize and implement program orientation and selection process

4.       Supports the Director of Programs to forecast, plan, monitor program expenditures including but not limited to expenditures related to program operations, special events and projects and annual success ceremony

5.       Prepares, submits and tracks participant stipends incentives, background checks, uniform orders and program supplies as needed.

6.       In collaboration with the Director, communicates with the agency’s leadership regularly to provide program updates, achievements and milestones, and to identify program gaps/challenges and solutions

7.       In collaboration with the Director, co-leads monitoring and oversight visits from funding and partner agencies.

8.       Serve on the agency’s Continuity of Operations Team as directed by the ED.

9.       Participate in scheduled staff meetings.

10.    Supports agency wide events and initiatives.

11.    Performs other related duties as assigned by the program’s leadership.

Physical Requirements:

This position operates in a professional office environment. This role routinely uses standard office equipment such as personal computers, laptops, tablets, smart phone, photocopiers, filing cabinets and other presentation materials • While performing these duties, the employee is required to perform physical activities such as, but not limited to, lifting items (up to 30 pounds), bending, reaching, sitting for prolonged periods of time and the climbing of stairs. Mobility and ability to travel around the City, regionally and nationally to meetings and special events as needed is also required.  The Assistant Director must also be to diffuse and intervene during possible physical altercations as needed.
