Position Summary:

Union Settlement’s Youth Services Department is seeking an Administrative Office Manager.  The Office Manager will contribute to the success of the Youth Services Department and programs operating in our Washington Houses Community Center by leading and demonstrating outstanding operational efficiencies. The Office Manager is responsible for the office’s day-to-day operations, ensuring efficient and effective processes, and coordinating all issues affecting the office’s daily operations. The Office Manager will work under the direction of the Director of Youth Services to ensure the needs of the office, Youth Service Department, and our employees are met on time. The Office Manager will play an integral role in contributing to the Department’s program quality, culture, success, and sustainability.



● Manage the overall operations of Washington Houses Community Center.

● Directly support the Department Leadership including but not limited to Director, Deputy Director, Associate Directors and Program Manager.

● Assist with scheduling and managing the Department Director’s calendar as needed.

● Liaison between community partners, resident associations, and use of the youth center.

● Assist with promoting program offerings and department vacancies.

● Work to identify community needs and resources.

● Assist with onboarding new employees and volunteers.

● Manage all administrative duties (letters, memos, etc.).

● Supporting with coordination of pre-screenings, interviews, and onboarding.

● Coordinating team meetings and sharing of department resources.

● Review and help manage purchases, receipts, and invoice processing.

● Assist with financial documentation and purchase monitoring.

● Collect, file, and maintain all of Youth Service documents as needed.

● Compile statistical data for monthly reports.

·       Assist with department new hire and on-boarding/new hire training as assigned.

● Collect and maintain reports for the programs as needed.

● Process a monthly purchase log for the department.

● Management and follow up on administrative deadlines for department leadership.

● Manage room bookings in the shared spaces.

● Maintain office equipment including computers, copier, fax, telephones, etc.

● Maintain and replenish inventory and office supplies.

● Keep the office clean and tidy – organize supplies, file paperwork, recycles, etc.

● Coordinate production of brochures, flyers, etc.

● Actively participate in training sessions, designated meetings, and special events.

● Other activities and duties as needed that address the ongoing health and well-being of our staff and members. Follow and maintain sanitary habits in accordance with DOHMH and CDC guidelines.


Desired Skills & Experience:

·       Associate’s degree preferred.

● Prior administrative experience required.

● Prior experience working with SACC programs and DYCD funded programs

● Experience working with at-risk populations.

● Strong administrative and organizational skills.

● Demonstrated ability to multi-task, work independently, and meet deadlines.

● Strong attention to detail.

● Demonstrated bookkeeping competence.

● Commitment to providing outstanding customer service

● Strong communication skills (oral and written)
