Position Summary/Overview:

Reporting to the Senior Vice President for Finance & Administration, the Director in this exempt position will direct overall facilities management of a six story 106,000 gross square foot historic building including operations management, capital projects and ensuring compliance with New York City and State laws and regulations. Managing a staff of 6, the position oversees such functions as HVAC and electrical systems, building maintenance, mail service, environmental services, and RFP development and competitive bidding for projects.   The Director also oversees the functions of security and reception which are outsourced.   The Director will provide support for the diverse Divisions of the Academy including support of the Education & Conference Center with 23,000 net square feet of space hosting hundreds of events each year, and one of the most foremost medical libraries and historical collections in the United States.

Essential Duties and Responsibilities:

  • Personnel:  Staff assessment, management, training and development, mentoring, recruitment and retention
  • Budget: Assist with developing and managing annual operating & capital budgets
  • Education & Conference Center:  Work closely with the Conference Center Director, ensuring excellent customer service and quality and timeliness of meeting Conference Center event set-up and closing requirements
  • Work with Library leadership to maintain appropriate environmental conditions for the Academy’s historical and contemporary collections
  • Design & Construction:  Manage internal construction projects, space planning, renovations and repairs and coordinating the work of outside architects, engineers, and contractors
  • Procurement:  Select and managing outside vendors; analyzing systems and vendors to increase productivity and efficiency while managing within budget
  • Emergency & Safety: Lead emergency preparedness planning, ensuring that a code compliant Fire Safety Plan and program is in place
  • Maintenance: Update and manage preventive maintenance program
  • Green:  Lead “go green” initiatives as they related to building systems, operations and construction
  • Other duties as assigned

 

Qualifications:

  • Prior experience in Facilities Management of an owned facility with a successful track record of proven results
  • Management, team building and organizational skills
  • Hands on knowledge of operations, construction, planning and maintenance
  • Experience with the NYC DOB, FDNY and other city agencies with knowledge of NYC building codes and regulations
  • Experience in budget planning and management, combined with ability to achieve efficiencies, streamline operations, and reduce costs where possible
  • Effective written and oral communication skills; adept with technology
  • Strong interpersonal skills and ability to interface effectively and work collaboratively with all levels of the Academy and outside vendors
  • Fire Safety Director Certification is essential
  • Bi-lingual English/Spanish helpful
  • Experience working with rare and valuable archival materials helpful
  • Such certifications as CFM, Boiler, Sprinkler, & Alarm System maintenance and others desired
  • Experience using Word, Excel, CAD, work order facilities management software, and building maintenance software (BMS) also preferred
  • Ability to prioritize workflow and self-identify appropriate deadlines

 

Education and/or Experience:

Bachelor’s Degree (BA) or equivalent required. Work experience may substitute for education.  At least five to ten years of progressively responsible related experience needed.

There is a COVID-19 vaccine mandate in place at NYAM.  This is a full-time, on-site position.  Must be available on occasional nights, weekends and holidays when required
