Department Summary:

The Academy is home to one of the most significant historical libraries in medicine and public health in the world. The Library and its Center for the History of Medicine and Public Health support and encourage a deeper understanding of the many and varied forces that have shaped medicine and public health from ancient times to the present day. The Library fosters engagement with its historical materials for schools and the public and organizes public events that use history to better understand current-day issues. We safeguard the heritage of medicine to inform the future of health.


Position Summary/Overview:

The Collection Management Librarian maintains the integrity and supports the use of the Library’s physical and digital collections. The Collection Management Librarian reports to the Library Director.


Essential Duties and Responsibilities:

Physical collection management:

  • Analyzes collection location systems and clarifies inconsistencies and ambiguities.
  • Working with Facilities, ensures the environmental and security standards of the physical stacks.
  • Manages the processes for deaccessioning items from the physical collections.
  • Serves as principal liaison with outside organizations working with the physical collections for digitization, binding, and similar activities.

Digital collection management:

  • Coordinating with outside vendors, maintains the OPAC and the Digital Collections and Exhibits systems.
  • Working with IT, develops the Library’s digital repository.

General duties and responsibilities:

  • Maintains strong working relationships with other Academy units, especially Facilities and IT.
  • Keeps current with trends in librarianship in collection management.
  • Performs other duties as assigned.



  • Five years’ experience managing physical collections in research libraries, archives, museums, or historical societies, including experience with rare and unique materials.
  • Three years’ experience managing digital collections.
  • Experience using online catalogs, specialized databases, and similar tools.
  • Excellent organizational skills, verbal and written communication skills, and analytical and problem-solving skills.


Education and Experience:

  • Master of Library Science degree, or equivalent education or experience.
