Randall’s Island Park Alliance, Inc. (RIPA) is a 501(c)(3) non-profit organization that works with the City of New York and local communities to provide an innovative and exciting destination through a wide range of sports venues, public programs, cultural events, and environmental exploration. As the dedicated steward of Randall’s Island Park, the Alliance sustains, maintains, develops, and programs the Park to support the wellbeing of all New Yorkers. The Administrative Coordinator will provide administrative and clerical support to the RIPA senior leadership team and Randall’s Island Managers by performing a variety of clerical tasks, under the direct supervision of the Human Resources Manager. The Administrative Coordinator will thrive in a fast-paced environment and will ensure the efficient operation of the office at Icahn Stadium at Randall’s Island Park.


Work under the direct supervision of the HR Manager and provide support to the RIPA senior leadership team and Randall’s Island Managers, as needed.
Respond to general inquiries via mail, e-mail, phone and/or in-person.
Provide excellent customer service to all callers by answering multiple phone lines and responding to callers’ questions or by taking and distributing phone messages to appropriate parties.
Greet visitors, respond to questions, provide information and direct visitors to appropriate parties.
Prepare documents and correspondences, including memos, emails to staff members, agendas, forms, letters, reports, and work orders, and maintain simple database programs.
Assist with planning and executing staff events including ordering food, making delivery arrangements, etc.
Receive, sort, and distribute incoming mail and process outgoing mail and track packages.
Assist with calendar management and scheduling.
Provide support to Park operations, as needed.
Support special projects, as needed.
Maintain confidential files, and file pertinent documents on a timely basis.
Travel to the RIPA administrative office in Manhattan to retrieve mail and other packages and run errands for the President and senior leadership team, as needed.
Maintain inventory of supplies and place orders, obtaining all required approvals.
Perform other administrative duties such as, but not limited to, faxing, photocopying, scanning, filing, and data entry.

An Associate’s degree from an accredited college OR a high school diploma (or equivalent) and two years of experience in office management/administrative experience.
Strong interpersonal, communication and writing skills.
Strong administrative skills, organizational and planning skills, as well as strong attention to detail.
Positive, friendly and approachable demeanor.
Ability to multitask and thrive in a fast-paced environment.
Motivated and punctual, able to work both independently and as part of a team.
Proficient with Microsoft Office Suite, especially with calendars, Word, and Excel.
Ability to maintain confidentiality.
New York State Driver License.
Notary Public.
Interest in parks and open green spaces.
Knowledge of landscaping, maintenance, field sports, horticulture, and/or community programming.
